Required Documents
Once we receive your online booking, you will receive a quote to confirm booking. All payments and contract signature, will be taken on the day of hire.
To complete your trailer hire booking, please email sales@berkshirecountytrailers the following:
1. Proof of Identity
- A valid UK driver’s licence
- A valid passport (required if travelling outside the UK)
2. Proof of Address
- A current utility bill, Council Tax bill, gas bill, or bank statement
- Must show the same address as your driver’s licence
- Must be dated within the last 3 months
- Mobile phone bills are not accepted
3. Motor Insurance
- A valid certificate of motor insurance for the towing vehicle
- The Hirer must also provide written confirmation from their insurance company that fully comprehensive insurance cover is in place for the hired trailer for the entire duration of the hire period.
- This confirmation must clearly state that the trailer is covered while being used for hire, including protection against damage, theft, accidents, and third‑party liability.
- The Owner reserves the right to refuse hire if satisfactory proof of fully comprehensive cover is not provided.
4. Responsibility for Insurance Cover
- Insurance cover against theft, damage, accidents, loss, or any other incident involving the trailer is the sole responsibility of the Hirer.
- This responsibility applies from the moment the trailer is assigned to the Hirer and continues until it is formally checked in and signed back by an authorised staff member.
- The Hirer is liable for any costs arising from incidents that occur during this period, regardless of fault, unless fully comprehensive insurance has been confirmed in writing by their insurer.
5. Security Deposit
- £300 pre‑authorised deposit for UK hire
- £500 pre‑authorised deposit for European hire
- Fully refundable less any damage/replacement costs where applicable, in accordance with our standard hire terms. The funds are held by your bank and are released once trailer hire is complete. This can take up to 10 working days.
Furthermore on the day of your rental please ensure you call us at least 30 minutes before you arrive. This will enable us to check your trailer before leaving and ready for when you arrive.
Lastly on the day of your return with the trailer we also require you to call at least 30 minutes before drop off to ensure a member of staff is available to meet you at the yard.
